You need the admin role to invite and manage team members. If you don’t see the Members section in Settings, ask your organization admin.

Choosing the right role
Kowalah has three roles. Each higher role includes everything the one below it can do.| Role | Best for | What they can do |
|---|---|---|
| Admin | Organization leads, IT directors | Everything, including managing billing, members, settings, and contracts |
| Core team | Department heads, project leads | Manage projects and initiatives, submit and approve Expert Requests, view reporting |
| Member | General employees | Browse accelerators, use AI Chat, create drafts of projects, initiatives, and Expert Requests |
How to decide
- Start most people as members. They can browse, use AI Chat, and create draft requests.
- Promote project leads to core team. They need to manage projects, submit Expert Requests, and view reporting.
- Keep admin small. Only people who need to manage billing, team members, and organization settings.
Managing your team
Changing a role
On the Members page, find the person and use the role dropdown to select their new role. You can’t change your own role.Pending invitations
Invitations that haven’t been accepted yet appear separately with a “pending” badge. The invited person’s assigned role is shown so you can verify it’s correct before they join.Multiple organizations
If your colleagues belong to multiple Kowalah organizations, their role is independent in each one. Someone might be an admin in one organization and a member in another. What your team should do first
Once someone accepts their invitation, point them to:- Quick start — a 15-minute orientation
- Projects — explore existing projects
- AI Chat — start a conversation to get oriented
