# Prompts for process owners

> Prompts for working your AI Operating Model in Claude or ChatGPT: read the map, diagnose a process, redesign it, set the quality bar, record the systems and people behind it, and build your model from documents.

These prompts are for anyone who owns, or wants to improve, a real business process in your [AI Operating Model](https://docs.kowalah.com/platform/operating-model/overview.md). Everyone can read the whole model. What you can edit depends on where you sit in it: you can change what's in your own area, and anywhere else Kowalah raises a proposal for the owner instead.

## Read the map

### The big picture

## Diagnose a process

Walk me through our Order to Cash process using Kowalah. Where does the
cycle time actually go, how many handoffs are there, and which steps
have never been measured?
```

Uses the `process-diagnostic` skill. Where data is missing, Kowalah says it can't tell you rather than treating it as zero, so an unmeasured process never looks like a healthy one. If most of the time is waiting between steps rather than work, it leads with that, because faster work won't fix it.

## Redesign it

Our supplier onboarding process has 14 steps and takes three weeks. Use
Kowalah to help me redesign it. Start from the current version, propose
a to-be with fewer handoffs and AI where it fits, and keep the two side
by side so I can compare them.

Uses the `process-redesign` skill. The redesign is saved as a proposal next to the original, to accept or decline.

## Set the quality bar

We're handing the "first-pass contract review" step to AI. Help me set
its quality bar in Kowalah: acceptance criteria, the checks before
anything goes out, how we'll monitor it and the target score.

Uses the `quality-bar` skill. You set what "good" means for a step, not whoever builds the automation.

## Change what you own

### Add or edit steps

In our expenses approval process, add a step after "manager approves"
called "finance spot-check", owned by Priya Shah, taking about five
minutes, run by a human. Show me the change before you save it.
```

### Record the systems a step runs on

Use Kowalah to link the systems each step of our Order to Cash process
runs on. Ask me about any step where you're not sure.
```

### Fill the ownership gaps

Use Kowalah to list the processes in Operations that have no owner. For
each, suggest who might own it from the people already in our model,
and let me confirm before you change anything.
```

Owners don't need a Kowalah login. Admins can add people who aren't listed yet.

### Suggest a change to someone else's process

I think the purchase order approval process in Procurement could drop
its second sign-off for orders under £500. Propose that change to its
owner through Kowalah, with my reasoning.
```

## Build your model from documents

Starting with an empty model, or a function that isn't mapped yet? Build it from what your organisation has already written, not from memory.

I've attached our Finance team's process documentation and org chart.
Use Kowalah to build the Finance unit from them: the org tree first,
then each process and its steps. Tell me what you couldn't find in the
documents rather than guessing, and show me each batch before you save
it.
```
